Terms of Service
Last updated: 20 September 2026These Terms set out the rules for using SnowstormBot. We have tried to keep them readable while still being clear about what you can expect from us and what we expect from you. If anything is unclear, please get in touch and we will be happy to explain.
Note: a Dutch version of these Terms is available. The Dutch version is the leading version: in case of any differences or translation discrepancies between the English and Dutch versions, the Dutch text prevails.
1. Introduction and acceptance
SnowstormBot is provided by Carpo IT, a company based in the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 42069312. In these Terms, "we", "us", and "our" refer to Carpo IT, and "the service" refers to the SnowstormBot website (snowstormbot.net) and the SnowstormBot Discord bot.
By using the website or by adding or using the bot, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the service.
The word "server" is used for more than one thing, so we always say which one we mean. A Discord server is a community on Discord that people join, with its own channels, members, and roles (Discord itself sometimes calls this a "guild"). Our servers are the computers we rent that run the website, the bot, and our database. A game server is a server you run for a game, such as a FiveM server connected through the integration in section 11.
Carpo IT also maintains its own general Terms and Privacy Policy, which apply to Carpo IT as a company. Those general documents also apply to you, but where anything in them conflicts with these SnowstormBot Terms in relation to the SnowstormBot service, these Terms take priority.
2. Eligibility
To use the service you must meet the minimum age required to use Discord in your country (at least 13, and higher in some regions) and be able to enter into a binding agreement. If you use the service on behalf of an organisation, you confirm that you are authorised to accept these Terms for that organisation.
3. The service
SnowstormBot helps you manage and automate your Discord server. Depending on your settings, features include automations, custom commands, scheduled and recurring messages, content feeds (such as YouTube, RSS, and GitHub), moderation tools, message and member logging, and delegated access for trusted helpers.
The service is available on a free tier and on paid plans. We may add, change, or remove features over time to keep the service working well.
4. Your account
You sign in using your Discord account. You are responsible for the activity that happens under your account, for keeping your access secure, and for making sure the information associated with your account is accurate. Tell us promptly if you believe your account has been compromised.
5. Plans, subscriptions and payment
The service offers a free tier and one or more paid plans. Paid plans can be billed monthly or yearly, as shown at checkout. All paid plans are paid in advance.
- Payment in advance: every billing period is paid up front, before that period starts. Your first payment is taken at checkout and gives you access for the period you selected. Each following period is charged on the day it begins.
- Auto-renewal: paid plans renew automatically at the end of each billing period (monthly or yearly) until you cancel.
- Cancellation: you can cancel at any time, and to stop the next charge you must cancel at least 2 business days before your renewal date. Business days are Monday to Friday, excluding public holidays in the Netherlands. Your renewal date is shown in the dashboard and in Creem's customer portal. If you cancel inside those last 2 business days, the renewal may already be on its way and can still be charged. In that case the cancellation applies to the period after it. Cancelling stops future charges, and your paid features stay available until the end of the period you have already paid for.
- Merchant of record: payments and subscriptions are handled by Creem, which acts as our merchant of record. Your purchase is made through, and invoiced by, Creem as the authorised reseller of our paid plans, and is also subject to Creem's own terms and privacy policy.
- Prices, VAT and other charges: prices on our website are shown in euros (EUR) and are exclusive of VAT, sales tax, and any other taxes, duties, or charges that apply where you live. Those are added on top. The plans page marks this with an asterisk (*) next to each paid price. Creem, as merchant of record, works out the final total for your country, shows it to you at checkout before you pay, and collects and remits the tax. If Creem charges you in another currency, the conversion and any charge your bank or card issuer adds are between you and them.
- We may change our prices, including yours: we reserve the right to change the price of any plan at any time, and that right covers subscriptions that are already running, not only new sign-ups. A price change never applies to a period you have already paid for. We will tell you at least 30 days before the new price first applies to you: on the website, in the dashboard, and in the SnowstormBot logs channel of your Discord servers. If you accept direct messages from the bot, we will send it to you as a direct message as well. The new price then takes effect from your next renewal. If you do not want to pay the new price, cancel before that renewal (see the 2 business day cutoff above) and your plan simply ends at the close of the period you paid for. Carrying on past that renewal counts as accepting the new price.
- Payments: by subscribing you authorise the recurring charge for your chosen plan and billing cycle, in advance, for each period. We do not receive or store your card or payment details.
- Your plan is for your own Discord servers: a plan's capacity, including the number of Discord servers the bot may join, is tied to your account and is meant for Discord servers you genuinely run. You may not share, rent out, resell, or otherwise pass on unused capacity to other people, for example by having someone transfer ownership of their Discord server to you so that you can both benefit from a single subscription. We may not always be able to detect this, but it is not permitted.
- If a payment fails or you downgrade: paid features end at the close of the period you have paid for. If your account or a Discord server then sits above the limits of the plan you are on (for example, you go back to the free tier while you still have more Discord servers, feeds, or automations than that tier allows), you get a grace period of 5 days. The 5 days start on the day we first see that you are over a limit, and we tell you in the dashboard and in your SnowstormBot logs channel while the clock runs. If you are still over the limit when those 5 days end, everything above the limit will be paused. Paused means switched off and left alone, not deleted. As soon as you are back within the limits, or you take a plan that covers what you have, the pause is lifted and everything continues.
6. Refunds and right of withdrawal
We offer a 14-day money-back guarantee on your first subscription payment. If you request a refund within 14 days of your first payment, we will refund that payment in full. Refunds are issued through Creem, our merchant of record. This voluntary guarantee meets or exceeds the right of withdrawal that EU consumers have under the law.
Renewal payments are not refundable. You can cancel at any time to stop further charges, and as set out in section 5 a cancellation must be made at least 2 business days before your renewal date to stop the next charge. You keep access until the end of the period you have already paid for. Refunds that apply when we end a paid account are covered in section 13, and refunds if the service has to shut down are covered in section 18.
7. Acceptable use
When using the service, you must not:
- break the law or infringe anyone else's rights;
- harass, abuse, spam, deceive, or harm other people;
- use the bot in a way that breaks Discord's Terms of Service or Community Guidelines;
- disrupt, attack, overload, probe, reverse engineer, or try to gain unauthorised access to the service or the systems it runs on;
- work around plan limits, suspensions, payment, or the invite and allowlist system;
- share, rent out, or resell unused plan capacity (such as the bot's Discord server slots) to other people, including by taking over Discord servers you do not genuinely run so that several people share one subscription;
- resell, sublicense, or misrepresent the service as your own;
- use the bot to operate, or in connection with, any high-risk or life-critical activity, including medical or life-support systems, implantable or other medical devices, aircraft or other aviation or air-traffic navigation or control, motor-vehicle control, nuclear facilities, emergency or other life-saving services, weapons systems, the operation of critical infrastructure, or any other use where a failure or delay could lead to death, personal injury, or damage to property or the environment.
High-risk uses. SnowstormBot is a tool for managing Discord servers and game servers for communities. It is not designed or meant for high-risk or life-critical use. We make no warranty that it is fit for any such use, and to the maximum extent permitted by law we exclude all liability for any damage arising from using the bot for, or in connection with, the high-risk activities listed above.
What happens if you break these rules. If you misuse the service or do not follow these Terms, your account will be permanently blocked. On top of that, every Discord server linked to your account that we know about will be blocked as well, the bot will leave those Discord servers, and it will not be able to join them again. We may apply this to any new account or Discord server you use to get around the block. Section 13 explains how this works for paying subscribers, including when a refund applies.
8. Your content and your Discord servers
You and your Discord server's administrators are responsible for the content you create through the bot (such as messages, commands, and automations) and for how the bot is used in your Discord servers. This includes informing your members and having a lawful basis where required; see our Privacy Policy for more on data.
You keep ownership of your content. You grant us a limited licence to host and process that content only as needed to operate the service for you.
9. Intellectual property
SnowstormBot, the website, the SnowstormBot name and branding, and the underlying code belong to Carpo IT and are protected by law. These Terms do not transfer any of those rights to you.
SnowstormBot is not affiliated with, endorsed by, or sponsored by Discord, FiveM, Cfx.re, or Rockstar Games. Discord is a trademark of Discord Inc. FiveM, Cfx.re, Grand Theft Auto, and related marks are trademarks of their respective owners, including Rockstar Games and Take-Two Interactive. All product names, logos, and trademarks mentioned on the service belong to their respective owners, and are used only to describe what the service works with.
10. Third-party services
The service relies on third parties such as Discord, our payment provider and merchant of record Creem, and our hosting and infrastructure providers. We are not responsible for those services, and your use of Discord is governed by Discord's own Terms.
11. Game server integrations (vMenu Enhanced)
SnowstormBot can connect to a game server that runs vMenu Enhanced, so that you can manage that game server from your Discord server. Depending on what you switch on, this can cover things such as the in-game weather and time, seeing and managing players, kicking or teleporting players, whitelisting and join queues, announcements, reports and tickets, vehicles, routing buckets, resources, and console output.
To connect a game server, that server has to be running vMenu Enhanced, and you enter the API key that SnowstormBot issues for that game server into its configuration. The game server then connects to us using that key. We never open a connection to your game server, so we do not need or store its address. You find the key in the Servers overview in the dashboard, and every game server you connect gets its own. One Discord server can have several game servers connected to it, while a game server can be linked to only one Discord server at a time. Because a connected game server sends us data about its players, linking one also means accepting our Data Processing Agreement, which sets out how we handle that data on your behalf.
- Your game server stays yours. We do not host, run, monitor, patch, or back up your game server. Its configuration, its resources, its database, and its player data remain your responsibility. By connecting it you confirm that you are allowed to manage that game server.
- Commands take effect immediately. Actions sent through the integration are carried out in the game as soon as they arrive, and several of them cannot be undone (kicking a player, deleting vehicles, restarting or stopping a resource, changing a convar, locking the server, running a console command). You decide who in your Discord server may use them, and you are responsible for the result of every action sent from your Discord server, including actions taken by your staff.
- The live map shows your players' location. If you use the live map, it shows your players' live in-game position. A read-only share link lets anyone who has the link watch that map without signing in, so treat a share link like something you are making public. You decide who may see the map and who receives a link, and you are responsible for telling your in-game players where the law requires it. What data this involves and how long we keep it is set out in our Privacy Policy.
- Keep your key safe. The key is what lets your game server and SnowstormBot recognise each other, so it gives control over that game server. Treat it like a password: keep it in your server configuration, never post it anywhere public, and if you think someone else has seen it, get a new one from the Servers overview and put that into vMenu Enhanced. The old key stops working once it is replaced.
- Third parties. vMenu Enhanced, FiveM, Cfx.re, and Rockstar Games are not us. Your use of them is governed by their own terms and licences, and we are not responsible for them or for changes they make.
- No guarantee that a command arrives. The integration depends on your game server being online and reachable, on your key being valid, and on the third parties above. It can be interrupted, delayed, or changed at any time, and we do not guarantee that an action arrives, arrives once, arrives on time, or has the effect you expected.
- Liability. Section 15 applies in full to this integration, including damage to your game server, its database, its resources, or your players, and damage caused by an action that did not arrive, arrived twice, or worked out differently in-game than you intended.
12. Service availability and maintenance
We work hard to keep the service running and available at all times. Even so, the service is provided on an "as is" and "as available" basis, and we cannot guarantee that it will always be uninterrupted or error-free.
We are not responsible for downtime or issues caused by events beyond our reasonable control (force majeure, in Dutch "overmacht"), such as failures at our hosting provider, power or internet outages, or problems with Discord.
Where we plan maintenance that we expect to cause downtime, we will give at least 24 hours' notice where reasonably possible, posted to the SnowstormBot logs channel in your Discord server. Urgent fixes needed to keep the service safe or working may have to happen without advance notice.
13. Suspension and termination
You can stop using the service at any time by removing the bot from your Discord server or by deleting your account from your profile page.
We may suspend, restrict, or end access to the service, remove the bot, or block a user or a Discord server:
- Free accounts may be suspended or removed at any time for any reasonable reason.
- Paying subscribers will only be banned for serious or outrageous misuse, such as illegal use, serious abuse, or attacks on the service. If we ban an active subscriber, we will refund the unused part of their current paid term on a pro-rata basis.
- The bot only stays in Discord servers that were invited through our website. If it ends up in a Discord server it was not invited to through the site, or that Discord server is blocked, it will leave automatically.
When the bot leaves a Discord server, its scheduled actions and feeds for that Discord server are stopped, while a record of past actions is kept for review. Deleting your account removes your account data as described in our Privacy Policy.
14. Disclaimer of warranties
To the maximum extent permitted by law, the service is provided without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement. Nothing in these Terms removes any rights you have as a consumer that cannot be excluded under the law.
15. Limitation of liability
To the maximum extent permitted by Dutch law, Carpo IT is not liable for any damage arising from or connected to the service, whether that damage is direct or indirect. This includes, and is not limited to:
- incidental damage, consequential damage, loss of data, loss of profit or revenue, missed savings, business interruption, and reputational damage;
- damage caused by faults, bugs, or mistakes in our code, in a software update, or in a configuration change on our side, including a fault that only shows up later;
- damage caused by an automation, moderation action, scheduled message, feed post, or command that did not run, ran twice, ran late, or produced a result you did not intend;
- damage arising from a connection with an external service, including the vMenu Enhanced game server integration described in section 11, and including damage to a game server, its database, its resources, or its players;
- damage caused by third parties such as Discord, Creem, or our hosting and infrastructure providers, or by a change those parties make;
- damage caused by a third-party platform (such as Discord, FiveM, or Cfx.re) suspending, banning, limiting, or removing your Discord account, your Discord server, or your game server, or by any loss of access, standing, or content on such a platform, whether or not it is connected to your use of the bot;
- damage caused by events beyond our reasonable control (force majeure, in Dutch "overmacht").
You are responsible for following the rules of Discord, FiveM, and any other platform you use the bot with (see section 7). Keeping your accounts, Discord servers, and game servers in good standing on those platforms is your responsibility, not ours.
Our total liability connected with the service is in every case limited to the amount you paid us for the service in the 12 months before the event giving rise to the claim. If you use the service for free, that amount is nil.
Nothing in these Terms limits or excludes liability that cannot be limited or excluded under the law, including liability for intent or deliberate recklessness (in Dutch "opzet of bewuste roekeloosheid"), or for death or personal injury, and your mandatory rights as a consumer remain unaffected.
16. Indemnification
To the extent permitted by law, you agree to indemnify and hold Carpo IT harmless from any third-party claims, damages, and reasonable costs (including reasonable legal fees) that arise from your misuse of the service or your breach of these Terms.
17. Changes to these Terms
We may update these Terms from time to time. When we do, we will change the "Last updated" date at the top of this page, and for significant changes we will give notice in the dashboard. For paying users, a material change that is to your disadvantage will take effect from your next renewal, so you can cancel before it applies. Continuing to use the service after a change means you accept the updated Terms.
18. If we can no longer run the service
Carpo IT is a sole proprietorship (in Dutch an "eenmanszaak"). That is a business that is legally the same as the single natural person behind it, rather than a separate company with its own legal personality. SnowstormBot is built and run by that one person.
If that person dies, becomes permanently unable to work, or can no longer look after Carpo IT, SnowstormBot, and the services connected to them for any other reason, every agreement between you and us ends automatically at that moment, by operation of law (in Dutch "van rechtswege"). Because Carpo IT is a sole proprietorship, the person and the business are one and the same. Dutch law says that an assignment given with a view to a particular person ends when that person dies (article 7:409 of the Dutch Civil Code), and by accepting these Terms you and we agree that this is such an agreement. Whether or not that article applies to your situation, we also agree as a matter of contract that the agreement ends at that moment, and that the same applies if the person becomes lastingly unable to carry the work on.
His family and heirs do not take the service over. They have no obligation to keep SnowstormBot running, to keep it online, to provide support, to hand it over to someone else, or to continue any subscription, and they are not liable for anything connected to the service. Where they are able to, they will let users know that the service is stopping because of these circumstances. Refund requests do not go to them, but to Creem, as described below. They do not have the knowledge to run it, and we do not want that responsibility placed on them.
If the service is taken offline for that reason while you have paid for a period that has not finished, you can contact Creem, our merchant of record, to ask for a refund of the remaining part of your subscription, as far as Creem is able to grant it. Creem holds the payment relationship and the money, which is why the request goes to them and not to the heirs.
If Carpo IT stops for any other reason, SnowstormBot goes offline with it. In that case we will say so as far in advance as reasonably possible, on the website, in the dashboard, and in the SnowstormBot logs channel of your Discord servers. If you accept direct messages from the bot, we will send it to you as a direct message as well. That way you have time to move on. The unused part of any subscription you have already paid will be refunded to you proportionally (pro rata), through Creem where that is possible.
19. Governing law and jurisdiction
These Terms are governed by the laws of the Netherlands. Any dispute relating to the service or these Terms will be brought before the competent court in the Netherlands. This does not affect mandatory consumer protections that may give you, as a consumer in the European Union, the right to rely on the laws of, and bring proceedings in, the country where you live.
If you live in the United States or Canada, section 20 also applies to you and sets out how disputes between you and us are resolved.
20. Dispute resolution for users in the United States and Canada
This section applies only if you live in the United States or Canada. If you live anywhere else, this section does not apply to you, and section 19 governs any dispute. This section only changes how disputes are resolved for users in the United States and Canada; the rest of these Terms, and the choice of Dutch law in section 19, still apply.
Talk to us first. Before starting arbitration, you agree to first try to resolve the dispute with us informally. Send a short written description of the dispute and what you would like to [email protected], and we will do the same if we have a dispute with you. If the dispute is not resolved within 30 days, either of us may start arbitration.
Binding individual arbitration. Any dispute that is not resolved informally will be settled by binding arbitration on an individual basis, administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules, rather than in court. The arbitrator decides the dispute, and the decision can be enforced by a court. You and we each give up the right to a trial by jury.
No class actions. You and we may bring claims against the other only on an individual basis, and not as a plaintiff or class member in any class, collective, consolidated, or representative action. The arbitrator may not combine more than one person's claims or preside over any form of a class or representative proceeding.
Small claims and intellectual property. Either of us may still bring an individual claim in a small claims court if it qualifies. Nothing here stops either of us from asking a court to protect intellectual property rights.
You can opt out. You can opt out of this arbitration and class action waiver section by emailing [email protected] within 30 days of first accepting these Terms, with your name and a clear statement that you opt out. If you opt out, section 19 applies to you instead, and the rest of these Terms still apply. Opting out does not affect your access to the service.
Your local rights. Nothing in this section removes any right you have that cannot be waived under the law where you live. Some Canadian provinces (for example Quebec and Ontario) limit or do not allow mandatory arbitration or class action waivers in consumer agreements. To the extent this section cannot be enforced against you under the consumer protection law of your province, it does not apply to you, and section 19 applies instead.
21. General
If any part of these Terms is found to be invalid, the rest remain in effect. If we do not enforce a right straight away, that is not a waiver of it. These Terms, together with our Privacy Policy and (where relevant) Carpo IT's general terms, make up the entire agreement between you and us regarding the service. We may transfer these Terms to another company, for example as part of a sale or reorganisation of the business, while keeping your rights protected.
